This article serves as a guide for users to understand and use status reason codes in Carriyo.
Although reason codes are not mandatory, they can be useful when the carrier needs to communicate specific reasons for a shipment’s status change—such as a cancellation or a failed delivery attempt. They can also be used for internal reporting purposes.
Each reason code is linked to a list of allowed statuses, which defines the shipment statuses where that reason code can be applied. For example, if a reason code is associated with the Cancelled status, it will be available for use when a shipment is being or has been updated to that status.
In Carriyo, there are two types of reason codes:
- Native reason codes are part of Carriyo, they can't be deleted or edited and these are set up by default.
- User defined reason codes on the other hand, are customizable and can be created by Admin users.
Creating a reason code
1. Navigate to Settings > Administration > Reason Codes on the Carriyo Dashboard. The Type column helps in distinguishing native and user defined reason codes. Click on the add button on the top right corner of the page to add a new reason code.
2. The Add Reason Code dialog box will be displayed. Here, the Allowed Statuses field is for statuses that the shipment can be updated to upon selecting this specific reason code.
The type of every newly created reason code will be set to 'User Defined' and this cannot be changed.
3. Click on Save once all changes are made.
Reason codes will appear as an option when a shipment is being updated to a specific status, provided they are linked to that status.
Once updated, the reason code will appear in the list under the Reason column.
Editing or Deleting a reason code
Options to delete and edit are only available for User Defined Reason Codes.
1. Click on the three dot (menu) option to perform these operations. Editing is also enabled upon clicking the reason code.
2. Save once all changes are made.
